FAQs for Employees
Adjunct account duration:
Adjuncts will have active accounts as long as they are assigned to a class either in the current or a future term. You can add them as a secondary instructor of a class to keep their accounts active. If an adjunct is not assigned to a class after the current semester, their account will remain active for two weeks after the end of the term.
So should an instructor be deactivated, but then attached to a class in PeopleSoft within the 60 days of the end of last term, their mailbox contents will remain. Past the 60, the mailbox will be empty.
Adjunct account creation:
If a new adjunct needs to be setup and they have never worked for KCTCS an EMPL ID will need to be assigned. To get an EMPL ID assigned, the Affiliate Request form will need to be completed by the person being hired as an adjunct.
Once the EMPL ID has been assigned, they will need to be setup in the Instructor/Advisor (I/A) table and assigned to a class. Make sure to date the entry at least a week before the semester starts. The accounts cannot be setup without the following information:
- Instructors legal name
- Home address
- Home phone
- Personal email address
The person should list "Adjunct instructor" under "External Organization" along with someone at the college as the sponsor.

Update your Personal or home E-mail address
We encourage students and employees to have a personal/home email address listed in PS if possible. It gives the helpdesk an option for contacting an individual if they are having problems with their KCTCS account. Employees can update this information in Peoplesoft.
For name changes, Employees will need to contact HR.
A Preferred Name with a different last name must be set in order for PeopleSoft to trigger the username to update.
Update my address, emergency contact information, or tax exemptions
In the event you need to change your address, update your emergency contact information, or change your tax exemptions - you can do this by visiting the Employee Self-Service portal utilizing your KCTCS logon information.
Name change or username is incorrect
If you have a name change or if your email address/username is incorrect this must be corrected in PeopleSoft. You will need to log into HRMS under "Personal Details". You will need to contact HR and have the Primary name changed and have a Preferred name added or updated. Only a last name change will trigger a new username to be generated.
Normally it takes about 24-48 hours (excluding weekends and holidays) for the new username to be generated. For the changes to occur within the email system and to propagate to Blackboard normally takes several days. Once the change has been completed you can contact the helpdesk requesting a change to your email account.

Jefferson has installed a system to allow students to access the buildings during normal business hours using your cell phone. There are some requirements:
You must have your “mobile” number listed on your KCTCS account. You can check that at the User Account Center.
- Click on “Update User Profile”.
If a mobile number is added or updated the change will take effect at 8:00 AM the next business day (Monday – Friday).
You also need either an Apple iPhone that supports Apple Pay or an Android that supports Google Pay or NFC (Near Field Communication).
The app is named “ACT ID RS2” links for both Apple and iPhone are listed below.
Android (the phone must support NFC).
Once installed on the Apple phone, the app needs to be running with the screen showing that the credential is active, and Bluetooth will need to be on.
On Android phones, the phone would need to support NFC. Running the app is not required but the phone might need to have the display showing.
When using the phone to enter the building look for a reader that looks like what is pictured below.
Place the phone on the reader with the top towards the light. It can take up to five seconds for the phone to be read. With android you might need to shift the phone up or down to get a read.
The reader will beep, turn green and the door will unlock if you have access….
If your phone doesn’t open the door verify that you have the RS2 ACT application installed and it is showing the credential as active.
Also verify that the mobile number associated with the phone is listed as your mobile number with https://kctcs.edu/user.

What is Multifactor Authentication?
Multifactor Authentication (MFA) is when a user must provide two or more items of proof of identity to gain access to a digital resource. Multifactor authentication is used to safeguard against hackers by certifying that digital users are who they say they are.
Setting up Multifactor Authentication (MFA)
- Go to Microsoft Security Center
- Sign in to your account using your KCTCS email and password.
- Verify your identity by inputting the code sent to your cell phone. If you don't have a cell phone, you can have it call desk phone.
- Once you sign in, you can add/remove your default sign-in method. You can also sign out of your device if you lost your phone.
The Microsoft Authenticator app gives the best experience but you can also use SMS (text) or voice as primary or additional methods.
For Android users - Click on photo below.
For Apple users - Click on photo below
See the directions on setting up the Microsoft Authenticator app in this video.
You scan the QR code from within the application itself.
Student accounts should not be enabled for Multifactor Authentication (MFA). If you are logging into your personal device and are attempting to install Office, please do not check the box saying, "Allow my organization to manage my device".
Click "No, sign in to this app only" and click the ok button.
Reset your employee password
There are 2 ways for employees to reset their passwords:
- Whether you are on or off campus you can go to: User Account Center.
- If on campus you can log into any computer with your current password and press CTRL-ALT-DEL and select Change password.
Student workers can use the User Account Center to change their password or, if on campus, they can change their password by logging into a campus computer and pressing CTRL-ALT-DEL.
If a student worker is no longer going to be working for the college, please make sure to separate them. For example, remove them from payroll. This will remove the employee status and allow them to use the normal student tools for activating their accounts. Normally the supervisor would complete the separation form and turn it into.
